Enter transactions:

Enter changes, additions and disposals for assets.

 

The Asset List window allows you to maintain an asset's details and enter transactions to record changes to its value. Asset values are usually changed when the asset is added to (which is entered as an addition transaction) or all or part of an asset is sold (a disposal transaction).

 

 

Finding assets

 

The Asset list window opens with a searchable list of all your assets and a set of tabs used to access each page of details:

To locate an asset, either scroll through the list or enter part of its code or description into the Search key field. The list will update itself with only those assets matching the search text as you type. If you select a group, branch or department in the Groupings fields the list will limit itself to assets that match the grouping you've selected.

 

To view an asset's details, click on the appropriate tab. Part of the list is displayed on each tab, so you can continue searching through the list while viewing details if necessary.

 

 

Details

 

The Details tab displays the master details for the asset.

The Asset code, Description, Serial number and Notes fields hold general information about the asset.

 

The groupings fields (Major group, Minor group, Branch and Department) control how the asset is assigned to the company's divisions.

 

To change any fields, click the Edit button. This will open the Asset details window, which allows you to change any of the asset's fields.

 

image\bm1.gif  Assets can also be deleted by clicking the Delete button. This should only be used to remove assets which were incorrectly entered while first setting up a company, and is only available if the database is in Setup mode. In all other cases, remove assets by using the Disposal option.

 

 

Transactions: Additions

 

The Additions sub-tab of the Transactions Tab allows you to view and enter additions for the asset.

Additions should be entered whenever you add value to an asset, either by adding new components (such as a memory upgrade for a computer) or by adding to the recorded quantity of the asset (such as adding three new chairs to an existing set of twelve, if stored as a single asset).

 

The additions list shows the following fields for each addition:

 

Date

The date the addition was made.

Value

The value of the addition. For revaluations, this is the amount the asset's value has increased by.

Quantity

The quantity of the addition, if applicable.

Revaluation

Whether the addition is a revaluation or not. Revaluations affect the accounting schedule only; other additions are applied to both schedules.

Notes

A short note describing the reason for the addition.

 

To add a new addition click the Add button. Fixed Assets will prompt for details before creating the addition record using the Asset addition window. When you click OK the record will be created and will appear in the additions list.

 

To modify an addition, select it on the list and click the Edit button. The Asset addition window will appear with the addition's details. After making any changes, click OK to save the altered addition.

To remove an addition, select it on the list and click the Delete button.

 

 

Transactions: Disposals

Disposals should be entered whenever you sell, write off, or otherwise dispose of an asset. This includes both partial and complete disposals.

 

The disposals list shows the following fields for each disposal:

 

Date

The date the disposal was made.

Sale price

The value recovered by the disposal, if sold. This should be zero if the asset was destroyed or lost.

Quantity

The quantity disposed, if applicable.

Notes

A short note describing the reason for the disposal.

 

To add a new disposal click the Add button. Fixed Assets will prompt for details before creating the disposal record using the Asset disposal window. When you click OK the record will be created and will appear in the disposals list.

 

To modify a disposal, select it on the list and click the Edit button. The Asset disposal window will appear with the disposal's details. After making any changes, click OK to save the altered disposal.

To remove a disposal, select it on the list and click the Delete button.
